Go-Live Approval Workflow (Publishing an Event)

After an event has been created and all the event details have been updated, the last step is to publish the event so that it can be accessed by the public, or by intended audience for participation. Without publishing an event properly, whether it is a public or private event, the registrant will encounter issues such as a screen showing up asking them to log in to GEVME account, which will cause problems for both event organisers and the registrants.

Follow the below steps to publish an event correctly.

An event will have 4 different statuses (Published, Draft, Cancelled, Archived), defining its accessibility by the public and is set and accessed through the dropdown in the top right hand corner of the interface.

**Above image illustrates the changing of the event status

Approval before Publish

An Approval Checklist will show up for you to double-check on the necessary items before publishing your event.

Number of items in the checklist may depend on whether the event is a free/ paid registration event. Paid registration event will contain Payment, Tax checklist items.

If your GEVME account has an approval permission for the checklist items, you will be seeing the “Approve” button next to the individual checklist.

**Above image illustrates the event checklist before publishing when the user account has permissions for checklist approval.

If your GEVME account does not have approval permission, you will see the “Send for Approval” button to get approval for the individual checklist items.

**Above image illustrates the event checklist before publishing when the user account does not have permissions for checklist approval.

This checklist also serves as an internal auditing tool, in case your organization has an approval flow as to who edits/creates the event, and who will review and approve for the event to be published.

Request to Configure

By clicking on the arrow next to "Configure", you can send a request to configure or update the details in the required items list, if you review and the item isn't ready or configured correctly.

**Above image illustrates the event checklist page to send requests to another user for configuration of individual items.

If all the items are in place, you can click on "Approve", and you will be able to see the trail of who has approved which item.

**Above image illustrates the event checklist pop up box audit history.

Once all items have been approved, the option to "Publish" will turn to green. You can click on "Publish" and the event will be officially accessible:

**Above image illustrates the event checklist pop up box ready to publish the event.

In the top right hand corner of GEVME backend interface, the event status will be changed:
